Time management within your business

Being a virtual assistant can be a very rewarding job if you are self-motivated and manage your time effectively. Getting to work with other small business owners, helping to grow their client bases and overall building their company can be very fulfilling. Although handling many clients at once means you will need to stay organised to make sure you complete all your work.

As experienced virtual assistants who have been successfully running our business for seven years we have put together a few techniques to help you stay on top of all your work. Over the years we have tried different tips and found what strategies work best for us, here are some we think are helpful:

Use time blocking: If you do not use a time blocking approach to scheduling your days you’re probably wasting a lot of time without realising. It is important to block out time to work on specific tasks as you will more likely stay focused and avoid distraction… meaning you will get more work done in less time! Focusing on one task at a time is more beneficial than splitting your attention across multiple tasks.

Remove distractions: Begin by building habits that help you eliminate distractions and stay focused. Make sure to create an environment where you are less tempted to get preoccupied with something else that you are not working on. As a virtual assistant you will most likely be working from home and therefore self-discipline is an essential quality required, if you allow yourself to be constantly distracted or interrupted you will not get your work done. Keep your full attention on one task and do not multitask!

Take a break:

When you have a busy, jampacked day ahead and you feel like you have too much to do, it is easy to convince yourself that you don’t have time to take breaks. When doing a lot of tasks without a break it is harder to stay focused and motivated, so stepping away from your home office or workspace is important to clear your head and refresh yourself.


The life of a virtual assistant can be very unpredictable and chaotic at times! With many clients on the go it can be difficult to manage all your tasks, projects and meetings without implementing effective time management strategies. With these tips, you will find you’ll become more productive throughout the day and you will be able to complete all the tasks you need to get done… leading your business to success!
