Tips for effective communication with your VA

Whether you already have a Virtual Assistant or are looking to hire one, you must always be thinking ahead. For example, you should know what work you will be assigning to them, how you will communicate the tasks and how the work will be done.

When outsourcing work it is important to know some key tips to keep the communication flowing, here are some you should follow:


Make a point of communication: When working with a client it is important to ask what the best way to communicate with them is during the week. Usually this is either through email or a collaboration tool, but you can both see what works best for you. Some clients may choose to phone whenever they have a question or query. This is not always the most efficient way to communicate, as the VA may be working on something else at that time, so it is a good idea to agree on how you will communicate at the start of your business relationship.


Schedule regular meetings or calls: It may be an idea to add a weekly phone/video call to your schedule for each of your clients, as speaking face to face will help you to build a relationship quickly and allow you to give each other information in a short period of time. Reach out to them and make sure that everything you are doing together is on track, then if you both have any questions throughout the week you can communicate via email or an online chat tool. It may be a good idea to ask your VA to send a summary after the call so you both have an understanding of what is expected for the week.


Share your calendar: Sharing your calendar means your Virtual Assistant can see when you are likely to be available and when not, this means we can check this before contacting you. Doing this will improve your teamwork, although you need to make sure your calendar is kept up to date.

Good communication is essential in any workplace or relationship but when your team is virtual it is crucial, how clients and VA’s work together comes down to how well we understand each other.
